Job Description
The Operations Coordinator acts as a liaison between internal teams, supporting executives and managing processes that contribute to overall business efficiency. The Operations Coordinator uses a unique cross-functional vantage point to produce insight into business operations through reporting, metrics, and analytics.
This role supports the implementation, execution, and maintenance of internal operations, including but not limited to:
Project Management (Internal)
- Support designated staff by contributing to operational strategy and the planning and execution of internal projects and initiatives
Business Enablement
- Produce and maintain documentation, training materials, and multimedia resources for team enablement (e.g., standard operating procedures, internal process documentation, knowledge base training and professional development resources)
- Maintain and monitor internal tools and platforms to ensure the effectiveness of internal policies and procedures
- Organize, manage, and maintain knowledge resources (e.g., knowledge base articles) to facilitate efficient information sharing across the organization
- Lead onboard process for new employees, including introducing Steel Root culture and systems, purchasing employee equipment, and coordinating technical training
Human Resources
- Perform initial outreach for new hires and coordinate and schedule interviews
Client Success
- Facilitate new customer onboarding by managing client intake and internal handoff processes
- Maintain up-to-date information for customer points of contact and request and file customer documentation as needed
- Monitor and communicate monthly client services retainer progress
Sales Operations
- Assist with periodic quoting, invoicing and purchasing
- Maintain the client success review schedule
- Ensure up-to-date client information, documents, and renewal process in the customer in the Relationship Management (CRM) platform for efficient client communication
Finance Operations
- Coordinate month-end account and platform reconciliation processes
- Manage purchasing process by maintaining purchasing platform, tracking shipments, and communicating with internal and customer stakeholders
Requirements
- U.S. citizenship
- Very strong organizational and communication skills
- 2-3 years of experience successfully managing projects and implementing new initiatives
- Experience with project management and time tracking platforms, customer relationship management (CRM) tools, Microsoft Office, and accounting software
- Superb time management skills and detail-oriented approach to work
- Ability to keep track of multiple recurring and ad hoc tasks, projects, and schedules with a mastery of what must happen within a given day, week, or month
